How to Email an Invoice with a Pay Now Link in WooCommerce (Step-by-Step Guide)

If you run an online store or offer services using WooCommerce, sending invoices directly to customers is an essential part of getting paid quickly and professionally. WooCommerce makes this process simple—you can create an order, generate an invoice, and email it with a secure Pay Now link in just a few minutes.

In this guide, I’ll walk you through the exact steps.

Step 1: Go to the Orders Section

First, log in to your WordPress dashboard.

From the left menu, navigate to:
WooCommerce → Orders → Add Order

This will open a new order page where you can create an invoice manually for your customer.

Step 2: Enter Customer Billing Details

In the order page, locate the Billing Details section.

Click the pencil (edit) icon to enter your customer’s information, including:

  • Full name
  • Address (optional but recommended)
  • Phone number (optional)
  • Email address (required)

Make sure the email address is correct, because WooCommerce will send the invoice directly to this address.

Step 3: Add Products to the Order

Next, scroll down to the Order Items section.

Follow these steps:

  1. Click Add Item
  2. Select Add Product(s)
  3. Search for the product by name
  4. Select the product
  5. Click Add

The product will now appear in the order with its price.

If needed, you can also apply a coupon or discount before sending the invoice.

Step 4: Send the Invoice Email

Now go to the top-right corner of the order page.

  1. Find the Order Actions dropdown
  2. Select Email invoice / order details to customer
  3. Click the Create or Update button

WooCommerce will automatically generate the invoice and send an email to your customer.

Step 5: Customer Receives the Pay Now Link

Your customer will receive an email containing:

  • Order details
  • Invoice information
  • A secure Pay Now button

They can click the button and complete the payment immediately using your store’s available payment methods.

Why This Method Is Useful

Sending invoices directly from WooCommerce helps you:

  • Get paid faster
  • Maintain professional communication
  • Keep all orders organized in one place
  • Avoid creating invoices manually

It’s especially useful for freelancers, service providers, and businesses that accept custom orders.
